This position provides general administrative and office management support for the Dean, Herbert W.
Boyer School of Natural Sciences, Mathematics and Computing Required
Qualifications:
Education:
Associate degree and/or other formal secretarial training program
Experience:
At least two years' experience in professional office environment with demonstrated competence in computer applications, word processing, spreadsheets, budget-related record keeping, and maintenance of physical and electronic systems for Information management, written and verbal communication and interpersonal relations.
Essential duties:
Greet Visitors, respond to general inquiries, and provide referrals to appropriate resources.
Receive, screen, direct and make telephone calls and take and relay messages.
Schedule and arrange meetings, seminars, and workshops for college administrators, faculty and campus visitors including coordinating room reservations and organizing equipment set-ups, food service, and parking.
Set appointments and organize schedules for supervisors using Microsoft Outlook.
Compile information, compose, and prepare a variety of documents such as correspondence, forms, lists, manuscripts, presentations, proposals, reports, and spreadsheets using Microsoft Word, Excel, and PowerPoint.
Format documents according to specifications using standard computer applications.
Verify for completeness.
and proofread for accuracy, grammar, and spelling.
Attend meetings for purpose of taking notes and preparing and distributing minutes.
Develop and maintain both physical and electronic filing system.
Interview, schedule, train and supervise work study students.
Work in cooperation with the Dean,.
Business Office, and Grants Office to process, monitor, and reconcile expenditures of departmental and grant-funded projects using Microsoft Excel.
Review Dean and faculty travel and other reimbursements.
Submit reimbursements for the proper signature and to the business office for processing.
Process and record requests for faculty development.
Assist in management of budgets Assist in updating departmental website.
Review departmental PNC statements and receipts.
Submit forms to Dean and business office for approval of payment.
Build room schedule for the Collaborative Learning Program (CLP).
Issue keys each academic year to CLP facilitators for access to CLP storage area.
Assign CLP attendance scanners.
Build and Monitor CLP Google Sheets for attendance each semester, giving access to CLP facilitators and faculty.
Compile CLP attendance at the end of each semester for CLP Annual Report.
Gather and compile scholarship applicants for the Boyer School scholarships submitted through HubSpot.
Currently STEP scholars.
Create spreadsheet for the scholarship committee along with the scholarship applications.
Assist Dean in finding qualified incoming freshman for the Mcconnaughey scholarship award each spring.
Scholar monitoring.
First week of the fall semester schedule a scholarship orientation meeting with the Dean.
Prepare documents for scholars to sign.
Print each scholar's schedule at the beginning of each semester.
In Fall and Spring semester's print midterm grades, end of semester transcripts and alert the Dean of any concern of GPA dropping below the scholarship requirements or CLP attendance below required levels.
Schedule meetings between Dean and student when necessary.
Perform various other routine administrative tasks such as:
photocopying and assembling documents; posting notices/ retrieving files and documents; receiving, distributing, addressing, and sending mail; managing and ordering office and copier supplies, equipment, and other services.
Coordinate prospective student visits with the admission office and our faculty.
Opening meeting room and supplying Boyer School information for faculty to give student.
Assist faculty, chairs, and dean with access to information in various College systems.
Other duties:
Some afterhours work required each semester for Advisory Council Meeting and Dinners or special Boyer School events.
Perform other duties as assigned.
Special challenges and environment:
Located in a busy environment with many interactions and interruptions.
Occasional pressure due to deadlines and non-standard reporting or scheduling requirements.
